How it works

The Filing Lab Lifecycle

From intake to submission-ready in five working days. Here’s exactly what happens at each phase.

The four-phase workflow

01: Intake - Choose Your Package

You assign a token. We begin data collection.

What happens

You log into your secure dashboard and assign a token to a new client file. You provide us with case details, application category, and your data collection preferences.

What we do

  • Initiate secure intake under your firm’s branding
  • Send standardized intake forms to collect civil documents
  • Track document submissions and flag missing items
  • Organize all raw materials in our encrypted vault

02: Analysis

We collect, audit, and organize all client data.

What happens

Once all required documents are received, we initiate a detailed review and structured data analysis to ensure everything is accurate and aligned.

What we do

  • Extract and cross-check all key information (names, dates, addresses, and history)
  • Identify inconsistencies, gaps, or potential red flags early in the process
  • Organize all data into a structured format for seamless processing
  • Highlight any discrepancies for your review before moving to the next stage

03: Engineering

We build forms and assemble evidence.

What happens

This is where precision meets speed. Our technicians populate all required forms and assemble the evidence package.

Form engineering

  • Complete all required government forms with 100% accuracy
  • Ensure narrative alignment across all forms (personal, family, address history)
  • Draft factual timelines that support your legal strategy
  • Create detailed fact-mapping connecting evidence to narrative

Evidence architecture

  • Electronically organize and index all supporting documents
  • Create professional exhibit folders, paginated and submission-ready
  • Eliminate redundancy (remove duplicates, keep only what’s essential)

Multi-point audit

  • Chronological verification across all forms
  • Historical data cross-referencing
  • Narrative alignment checks
  • Technical compliance review

04: Delivery

You receive submission-ready package.

What happens

Your file is ready. You perform final legal review. You submit.

What we deliver

  • Pristine digital package with all forms completed and signed-ready
  • Organized evidence folder with professional indexing
  • Audit trail showing all consistency checks passed
  • Brief summary of file status and any flagged items

What we don't do

  • We do not conduct Final checks. You do.
  • We do not sign forms. You do.
  • We do not submit to IRCC, USCIS, or any government body. You do.
  • We do not advise on legal strategy or case outcomes. You do.

Timeline & turnaround

Standard turnaround

5 working days from complete receipt of all client documents.

Expedited turnaround

2 working days starting from an additional +$75 per file (subject to team capacity).

The Filing Lab Audit Protocol

Our operational standard

Every data point in the file is cross-referenced for historical consistency, narrative alignment, technical compliance, evidence completeness, and chronological accuracy. We don’t just fill forms; we audit the file to ensure it meets a veteran-tier standard of integrity.

This multi-point audit is standard across all tiers and all files. It’s how we ensure quality.

Data security & confidentiality

Secure Data Management

We keep all data secure using strong encryption, both during transfer and while stored.

Restricted Access

Only the assigned team member can access your client’s data. Any additional access is controlled and tracked.

Data Storage

Client files are stored on our secure servers and are deleted upon project completion.

Confidentiality

We respect your client relationships. We do not contact your clients, share your data, or disclose our partnership.

Responsibilities: Who does what

The Filing Lab is responsible for:

  • Accurate data extraction and form completion
  • Multi-point auditing and consistency verification
  • Timely delivery of submission-ready packages
  • Data security and confidentiality

You (the practitioner) are responsible for:

  • Final legal review of all documents
  • Legal strategy and case-specific counsel
  • Submission of the application to government
  • Professional accountability to your client

The boundary: We handle the science of the file. You handle the art of advocacy. Both are non-negotiable.
